Job Summary

 

The job develops and implements programs in a broad range of operational business activities in the creation of plans for events programming, marketing, and logistics.

Responsibilities

  • Responsible for the full-spectrum of event planning and execution for University of Chicago Medicine and Biological Sciences Development (MBSD).

  • C ontributes to fundraising efforts by conceptualizing, planning and expertly executing a broad range of cultivation and recognition events for donors and prospective donors. Part of a team that conceives, plans, coordinates, and implements of 50-75 events annually.

  • Work in close partnership with the Outreach Team to provide project management of 18-22 Outreach events per year.

  • Build strong understanding of the unique goals of all clients within MBSD and will add value to the planning and execution of events for these client groups.

  • In their management of two event planning colleagues, the Senior Assistant Director will be responsible for an awareness and knowledge of all fiscal year projects the team is working on in order to facilitate the support of these colleagues for each event. This includes responsibility for overseeing two highly visible public events for Comer Children’s Hospital: The 5K Comer Race for the Kids and the Bright Night Benefit.

  • Identifies, qualifies, and recommends a final selection of vendors for all facets of events (e.g., hotels, florists, caterers, printers, etc.). They are responsible for negotiating the most favorable terms and operating within budget.

  • Assists the Senior Director in annual business planning and budgeting. Review post event feedback and then analyze and determine actions to improve the volume, nature, and quality of events as a means to strengthen the Events Team, as well as to create business plans and budgets for the next fiscal year.

  • Responsible for flawless execution of events in a style and manner that reflects the stature, impact, and tradition of the University. 

  • Develops and executes day-to-day event logistics, and other complex assignments with minimal guidance from others.

  • Implements ideas for improvement as they are identified in addition to providing post-event feedback on turnout and vendor performance.

  • Performs other related work as needed.

Education:

Minimum requirements include a college or university degree in related field.

  • Minimum of four years of relevant experience, such as event or conference planning.
